What This Helps You Do
Let new members join a plan from your public signup page and pay you in person, without setting up online payments first.
Use this when your academy is not ready to accept online payments yet, or when you want a specific plan to always be collected in person, such as a plan you only offer to walk-ins. People who use this signup path choose the plan, complete the waiver, and pay you directly at the gym. MatAdmin never processes, holds, or sees that payment. You collect it yourself, and confirming you were paid is what activates the membership.
Before You Start
Your public signup page shows only plans that are:
- Active.
- Standard membership plans.
- Listed publicly.
- Set up for hosted online checkout, or turned on for in-person signups.
A plan needs only one of the last two conditions to appear on your signup page. If a plan is set up both ways, MatAdmin shows students the online checkout path by default.
Turn On In-Person Signups For A Plan
- Open Plans.
- Find the plan you want people to be able to join without paying online.
- Select Accept signups without online payment.
The plan can now appear on your signup page even though it has no online payment set up. If the plan is not already listed publicly, select List publicly to add it to your signup page.
To stop offering a plan this way, open Plans, find the plan, and select Turn off in-person signups. This only removes that plan from the in-person path. If the plan is not also set up for online checkout, it disappears from your signup page.
What Students See On Your Signup Page
A plan using this path shows a Pay at the gym tag on your signup page. When someone selects that plan, they see a Continue button instead of a payment button, and the page tells them they will pay at the gym. There is no payment step. Selecting Continue takes them straight to the digital waiver.
What Happens After Someone Signs Up
MatAdmin creates the new member right away. They appear in Members as Inactive, with their chosen plan showing, but the membership is not active until you approve the signup. Nobody has paid yet. You get an email for every in-person signup so you know to expect that person.
New in-person signups also appear in Public signups awaiting review, on the Plans page, in the same place you turned on in-person signups. The row reminds you the plan is not paid yet. Once you collect payment at the gym, select Approve to activate the membership. Approving is your payment checkpoint. If the signup should not go through, select Cancel instead.
The signup itself always lands pending, no matter your student limit or your public signup approval setting; neither one blocks the signup from happening. Approving is different: it counts the new student against your student limit the same way any other active student does. If you are already at your free-tier limit, MatAdmin blocks the approval until you free up a spot or upgrade your MatAdmin plan.
What Should Happen Next
Once you approve a signup, the student becomes Active immediately, with the plan attached, just like any student added another way. If approving would put you over your free-tier student limit, MatAdmin blocks the approval and tells you so; free up a spot or upgrade your MatAdmin plan, then approve again.
Common Mistakes
- Expecting a plan to appear on your signup page after turning on in-person signups without also listing it publicly.
- Approving a pending signup before actually collecting payment at the gym.
- Assuming your student limit does not apply to in-person signups. It does: approving one counts the student like any other, and MatAdmin blocks the approval if you are at your free-tier limit.
- Expecting a plan to show the in-person path once it also has online checkout wired up. Online checkout is the default whenever both are available.
When To Contact Support
Contact support if:
- A plan with in-person signups turned on does not appear on your signup page after you list it publicly.
- A pending in-person signup does not show up in your review list.
- You are unsure whether a signup has actually been paid.
