Pricing
Is MatAdmin really free for small academies?
Yes. MatAdmin is free for academies with fewer than 10 active students. The free tier is permanent for small academies and is designed to help new gyms get organized without adding another monthly bill too early.
What happens when my academy reaches 10 active students?
When your academy reaches 10 active students, you can upgrade to the Founder Plan at $39/month flat pricing.
Can larger academies still try MatAdmin for free?
Yes. The Founder Plan includes a 30-day free trial with no credit card required, so established gyms can evaluate MatAdmin before paying.
Are the Free Plan and Founder Plan different products?
No. Both plans use the same core MatAdmin experience for member management, attendance tracking, waivers, imports, and browser-based gym management. The main difference is the number of active students supported.
Are free-plan features limited?
The Free Plan is intended to give small academies the real MatAdmin experience, not a heavily restricted demo. Some limits may apply over time to keep the platform sustainable, but MatAdmin intentionally avoids feature-gating and bloated pricing matrices.
Is there per-member pricing?
No. MatAdmin is designed to avoid punishing gym owners for growth. After the free tier or trial period, the Founder Plan is a simple flat monthly price. When students pay online, MatAdmin takes no cut of the payment; the only processing cost is the payment provider's standard rate.
Are there contracts?
No. There are no long-term contracts. Gym owners should be able to use software because it helps them, not because they are locked in.
The product
Who uses MatAdmin?
Real academies run on MatAdmin every day. Attendance during live classes, belt and stripe promotions, waivers, student billing, and self check-in all happen on the platform daily.
Does MatAdmin keep improving?
Yes. MatAdmin ships improvements continuously, and feedback from academy owners goes straight to the founder, who builds the product.
Can students sign up and pay online?
Yes. Every membership plan can have a public signup link and QR code. Students sign up, sign the waiver, and pay online, or pay at the gym when you enable in-person signup for that plan.
Mobile support
Does MatAdmin work on mobile devices?
Yes. MatAdmin is browser-based gym management software designed to work on phones, tablets, and desktop devices so attendance and class management can happen during live classes.
Do I need to install an app?
No. MatAdmin is browser-based and works on any laptop, tablet, or phone. If you run a front-desk kiosk, there is also a free optional MatAdmin Kiosk app for iPhone and iPad.
Attendance
How does attendance tracking work?
MatAdmin is designed for fast attendance during live classes. Owners and instructors can quickly check students in from Attendance. To review history, open a student profile for that student's check-ins, or use Attendance > History to search by member or pick a past date and see the roster with class and check-in time.
Can students check in early or after class?
Yes, when the owner allows it. The owner controls the check-in rules from the Kiosk page, including the scheduled window or open check-in.
Can MatAdmin track belt ranks and promotions?
Yes. MatAdmin lets you assign belt ranks, set your own promotion guidelines per belt, see students in Ready for your review, and record promotions manually. Promotions stay owner-controlled; for setup and day-to-day steps, see Managing Belt Ranks and Recording Promotions.
Migration & data
Can I import my existing members?
Yes. MatAdmin supports CSV member imports so gym owners do not need to manually re-enter every student.
Can I review duplicates before importing?
Yes. MatAdmin includes duplicate review tools before anything is added to your gym database.
Who owns my gym data?
You do. Gym owners should always maintain ownership of their member and academy data.
Can MatAdmin help me switch from another system?
Yes. MatAdmin is migration-friendly gym software for small and growing academies, with imports, duplicate review, onboarding help, and simple setup flows.

Support is founder-led and focused on helping gym owners directly. Response times may vary, but MatAdmin aims to provide thoughtful and practical support.
