What This Helps You Do

Use this checklist to get useful value from MatAdmin in one short setup session.

The goal is not to finish every setting. The goal is to be ready to run one real class and see useful information afterward.

Before You Start

Have these ready if you can:

  • Your academy name.
  • One class you run regularly.
  • What you want to charge for your main plan (price and billing cycle).
  • A few active students, or students who can sign themselves up once your plan is ready.
  • A phone, tablet, or laptop you can use near class time.

If you do not have every detail, keep going. You can clean up later.

Step-by-Step Instructions

MatAdmin's own dashboard walks you through the same four basics in this order when you sign up. You can do them in any order, but this is the fastest path.

  1. Check your academy basics. Make sure the academy name and account information look right.

  2. Create your first class. Use a clear class name, such as "Adult BJJ" or "Kids BJJ". The Add Class modal also sets the weekly days and time in the same step. Keep the first class simple.

  3. Create your first membership plan. Go to Plans and click Add Plan. Set a Plan Name, Price, and Billing Cycle (Monthly, Yearly, Weekly, or One-Time), and leave Plan Type as Standard. New standard plans default to Public visibility, so once you turn on online payments or in-person signups for this plan, it can appear on your gym's public signup page. This is the plan students will actually pay for. Connecting payments (Stripe, payout setup) is covered in a separate article.

  4. Add a few students. Use Quick Add on the Members page to type students in one at a time, the fastest way to get a first roster going. Students can also join themselves through your public signup page once a plan is set up for it, so you do not have to add everyone by hand.

  5. Open attendance before class starts. Make sure you can find the class and see where students will be checked in.

  6. Check students in during class. As students arrive, mark them present. If someone arrives late, check them in when they get there.

  7. Review the dashboard after class. Look for the class or attendance activity you just recorded.

What Should Happen Next

After this first pass, you should have:

  • A basic academy setup.
  • One class ready to use.
  • A membership plan students can pay for.
  • A few students in MatAdmin.
  • Attendance recorded for a real training session.

That is enough to start learning how MatAdmin fits your gym.

Common Mistakes

  • Adding your whole roster by hand before trying attendance once. A few students are enough to start; Quick Add or public signup can fill in the rest later.
  • Creating too many class types right away. Start with the class you run most often.
  • Skipping the dashboard after class. That is where you confirm the work was recorded.
  • Turning on payments but never running a real test signup. Once a plan is wired for online or in-person payment, walk through it yourself before pointing students to the link.
