What This Helps You Do
Set the agreement that students review before they sign a digital waiver. Your gym controls the wording and can publish one version at a time for future signers.
Before You Start
Only the gym owner can set up or publish an agreement. Staff can see waiver status and use signing links, but they cannot change agreement text.
Where to Find Setup
Open Settings -> Waivers. The Waivers card explains whether your gym has a saved draft or a published agreement. Choose Set up waiver, Continue editing, or Start a new draft when you are the owner.
Draft the Agreement
Enter the agreement as plain text. Use paragraph breaks to make the text easy to read. MatAdmin stores the text your gym supplies and shows it to students on the signing page.
Spanish is optional. If you provide Spanish text, the gym must supply that translation. MatAdmin never machine-translates an agreement. If Spanish text is empty, Spanish-reading students see the English agreement with a notice that an English version is being shown.
Save the draft before you preview or publish it. A draft is editable owner content and is not shown to signers.
Preview Before Publishing
Choose Preview saved draft after saving. Review the English text and, when supplied, the Spanish text. The preview uses the same paragraph rendering that students see on the signing page.
Publish a Version
When the text is ready, choose Publish. MatAdmin asks you to acknowledge that the agreement is your gym's content and has not been reviewed by MatAdmin.
Publishing creates an immutable version. A published version cannot be edited or deleted. Save the draft and review the preview before you acknowledge and publish.
What Students See After Publishing
Only future signers receive the newly published version. A signing page that is already open in a browser keeps showing the version it loaded, even if you publish another version while that page is open.
Signatures already collected do not change. Each online signature keeps the exact agreement text, language, version, and integrity hash that the signer saw when signing.
Version History
Owners can review published versions in Version history. Choose View to read an old version. Choose Copy into draft to start a new draft from that version, then edit, preview, acknowledge, and publish the new version.
Full Export
The owner-only full export contains two agreement configuration files:
gym_waiver_agreements.csvcontains published agreement versions, one row per language. Its version key usesgym:<gym_id>:v<version>, such asgym:42:v1.gym_waiver_agreement_drafts.csvcontains the unpublished owner draft, one row per language, with its parent agreement timestamps.
These files describe gym configuration. They are not signed evidence records. waivers.csv remains the authoritative per-signer evidence, including the exact snapshot text and hash when MatAdmin retained it. A registry agreement version such as 2026-08-29.v1 is resolved from the signer snapshot, while a gym version key joins to gym_waiver_agreements.csv.
Legal Responsibility
The gym supplies the agreement text. MatAdmin has not reviewed it and does not provide legal advice. The MatAdmin placeholder text is not a legal template. MatAdmin makes no promise about whether an agreement is enforceable. Ask a qualified lawyer to review the agreement for your gym and location.
When To Contact Support
Contact support if:
- The Waivers card will not load or save.
- A published version is missing from Version history.
- A student sees the wrong agreement version after opening a new signing link.
- A full export is missing one of the agreement files.
